As we continue to transition to automation, fleet management is likely to be more tumultuous over the next decade than it has been in the last five, according to Steve Saltzgiver at Mercury Associates, Inc. During his 40-year career as a transportation and fleet management professional, Steve has worked with large and small fleets across a broad range of industries involving corporate, state and local government fleets. He has worked in every US state, Canada, Central America, Caribbean, and Europe. In this session, Steve will talk about the implications for fleet professionals as key industry trends begin to shape the future of fleet management in various areas. These include changes in automotive technology, management and employee expectations due to information technology advances, and the loss of institutional knowledge as veteran fleet managers retire and are replaced.

Steve will be facilitating a Q&A session following his keynote.

This class will go over the basic of RTA Reporting, including the plug and play features such as ExpressViews and Dashboards. Learn how to use the high-level tools in RTA Reporting. Users will create prebuilt workshop reports following step-by-step instructions.

 

Maximize Utilization of RTA

The RTA instructors conduct dozens of onsite consulting visits each year to help clients better utilize the software to improve their fleets and operations. This class covers the most frequently under-utilized features of the software. This includes features that could be used by making small changes to the way the software was originally setup, or how data is entered. Many are very easy to implement yet yield stellar benefits.

Precision Parts Management

8:30 a.m. – 12:00 p.m. | Track: Shop

This class is a must for those involved in the Parts Department who know the basics, utilize the many advanced features the software offers. Save time in the data entry process with faster work order posting methods and utilizing parts kits. See how quickly you can take physical inventory with barcoded parts. Discuss additional features such as the parts catalog, core tracking and the centralized parts inventory.

Advanced Vehicle/PM Tracking

The Vehicle module has many capabilities that are sometimes overlooked or forgotten. We’ll cover the Vehicle Status program, how to fully utilize class codes to group vehicles, and the unlimited user-defined fields. Enhance your preventative maintenance program by seeing the numerous advanced PM options, including auto-generating and emailing work order for due PM.

Basic Training (Two-Day Course)

This class covers the main features of the software. It’s an effective way of getting quickly – and efficiently – trained in the system. Whether you have attended a previous training or implemented a new system, this class provides the framework for setting up an RTA database and understanding all of the day-to-day functions in the software. You’ll learn how to receive parts, post fuel, check PMs due, and create work orders. Plenty of hands-on workshops during the course provide practice on each topic covered.

Advanced Training (Two-Day Course)

Utilize the RTA software to its full potential! Learn shortcuts, tips and tricks, and advanced entry methods to optimize data tracking and productivity in this fast-paced, two-day class. This class is specifically designed for the “RTA Manager” – the person responsible for maintaining and managing the RTA software. Numerous management-level functions are discussed to assist in optimizing the system. Topics include user security, personalized settings, and much more. Best practices, dashboards and notifications are explained to limit or identify possible problems in the data or fleet.

Advanced Purchasing Techniques

1:00 – 4:30 p.m. | Track: Shop

This class is a must for those involved in purchasing who know the basics of the RTA system, yet want to learn how to utilize the advanced features. Set RTA to track your stock inventory and reorders and generate purchase orders based on usage. FIFO vs average inventory valuation, purchase order approvals, and other tips are provided to maximize use of the purchasing module. Save time in the data-entry process by auto-posting parts received directly to work orders, links to the tire and fueling module and more.

Warranty Tracking and Recovery

Join the hundreds of fleets recouping thousands of dollars by utilizing RTA’s Warranty Tracking programs.Part warranties are easy to setup and track all failures and life expectancies ,and vehicle warranties are just as easy to create. You’ll receive immediate notification of parts or repairs still within warranty. The Warranty Claims program organizes them all, making it easy to submit claims, track pending and aging, and apply all those credits you receive.

The reporting side of the software is the focus as we provide in-depth explanations of where the numbers are coming from and how they can be utilized to better analyze your fleet. The morning session covers the EOP process, vehicle lists, cost reports, fueling, parts inventory, purchasing, and usage reports. You’ll find new reporting options and have abetter understanding of the reports you currently utilize. Tips provided on how small changes in data entry offer much more valuable and precise reports.

Accessing RTA Data Tools

Numerous tools are available to access your RTA data externally, share data with other applications, or pull data into Excel. Save time by exporting and importing data in many areas such as Customers, Parts, or Vehicles into Excel, where mass changes can be made and imported back into the RTA system. Utilize the many standard reports and new lookup-lists capabilities to allow exporting to various formats. The many capabilities SQL server offers are discussed.

Advanced Work Orders

If you know the basics of entering a work order, you’re ready to take advantage of the many advanced features. We’ll demonstrate methods to save time in data entry and make reporting more accurate. See how to quickly create numerous work orders, perform advanced posting methods, and link to the PO module to eliminate double-entry. Try them all out yourself in hands-on workshops.

Daily & Monthly Procedures

This session presents standard operating procedures for scheduled work in the RTA software. We’ll discuss Best Practices to optimize routines and discuss how one process affects another. We’ll explain the most efficient daily routine to enter work orders, process fuel, check for PMs due and replenish the parts inventory. Managing a Paperless Shop

This class will cover it all – from the basics to the advanced features and latest enhancements in the Paperless Shop module. Whether your shop is already paperless or you’re considering implementing this module, you’ll quickly become an expert on Paperless Shop. Learn real-life solutions on many questions shops encounter as they first implement Paperless Shop.

Fuel Module Management

Tracking fuel and updating mileage have become more important than ever. Manual fuel entry, pumps and tanks, and the EFI processes are all covered in this session.The EFI Exception reports are explained and corrective procedures due to bad mileage entries or excessive fuel use are discussed. We’ll cover the steps to track fuel pumps and tanks accurately, identifying variances, and making corrections.

Preventing the Breakdown

Ideally, a fleet operation’s workload should consist of at least 50% of preventative maintenance work. Increasing the amount of PM work should reduce the number of breakdowns and other larger repair jobs brought into the shop. Learn best practices to implement in your shop.

This session covers methods of determining and entering standard repair times and rates along with many options to utilize them in your shop. An optional utility is available to quickly update standard times based on averaging previous labor repair times by equipment type. Listening shows respect, concern, an openness to new ideas, empathy, curiosity, and receptivity to feedback – all considered to be important qualities of an effective leader. Listening isn’t rocket science and yet it is consistently one of the lowest-rated behaviors in 360-degree feedback assessments for managers. This class is designed around the heart of the RTA software, the Work Order module. We’ll explain and demonstrate how to save time by auto-creating WOs, using faster posting methods for parts and labor, and using links to the PO module to eliminate double-entry. Correct various mistakes in data entry, defer jobs, create estimates, and much more.

 

Automated Parts Reordering

Best Practices for SaaS

This is everything you need to know about the SaaS system, from connecting, EFI Pathing, Attachments, how to save files locally with export, etc. This session covers the normal processes that would change by being in a SaaS System, and the different ways to run the software in SaaS (Windows, Mac, tablets, phones, webpage), as well as the database access and requirements.

 

Organize/Standardize Data

Have you noticed variations in data entry based on whom or which location entered it? You’ll be able to identify, correct, and prevent issues. We’ll demonstrate methods to standardize data such as part descriptions, account numbers, vehicle user-definable fields, makes, models, etc. The tools are there in your RTA system, including export/import programs and global utilities.

Tracking fuel and updating mileage have become more important than ever. We’ll cover the steps to track fuel pumps and tanks accurately, identify variances, and make corrections. Correct fuel usage is a must for MPG and CPM reporting.

Vehicle Cost Reports

The RTA software contains many reports to provide valuable and precise vehicle costing – your reward for all the data input. You’ll find which reports contain the information quickly needed, such as cost per mile, operating costs, repair expenses, and replacement estimates.

 

Export/Import Work Orders & Purchase Orders

The latest work order and purchase order export/import routines are demonstarted to offer the ability to move transactional data into or from the software. The procedures and requirements of importing data are explained, in additon to the relational tables and data fields within work orders and purchase orders.

 

EFI Management

Electronic Fuel Interface programs eliminate the need for manual data entry, this class explains the steps of running an EFI. The all-important EFI Exception reports are explained and corrective procedures due to bad mileage entries or excessive fuel use are discussed.

RTA Connect Conference Policies

Discount Policy: All promotional and discounted rates are offered at the discretion of RTA. Promotional rates are voided if a registered attendee cancels and attempts to register at a lowered rate.

Cancellation Policy: All cancellations must be made in writing via email to events@rtafleet.com. Cancellations received on or before January 1st are eligible for a full refund minus the $100 processing fee. Cancellations received between January 2nd and January 31st are eligible for a 50% refund. Cancellations received after January 31st are not eligible for a refund. All eligible refunds are processed by May 31. All registrations must be paid in full seven (7) days prior to the start of the conference.

Substitution Policy: Name substitutions within the same company may be made prior to February 2nd by submitting a written request via email to events@rtafleet.com. Only one substitution is permitted per the original registrant with written consent. The individual submitting the substitution request is responsible for all financial obligations associated with the substitution as well as updating any contact/demographic information.

Hotel Reservations: Hotel reservations for our stay are not secured by RTA Fleet staff and management. RTA has reserved a block of rooms at a discounted rate (through February 7). Contact the hotel directly to secure your reservation and review their policies.

Personal Release: Photography and audio or video recording may occur at RTA Connect by or on behalf of RTA. You agree that RTA may use or share any such photographs or recordings containing your image, voice, or likeness, if captured, in connection with any advertising or promotional content, program or material for RTA Connect or for any other lawful purpose, including posting on public websites.
